Grade 11 · September–December

Program & school strategy

What happens

You and your consultant go through your marks so far, the Grade 12 courses you are leaning towards, and what you actually want out of a degree — including the parts you are unsure about. From that you build a real list: reaches, matches, and schools you would genuinely be happy to attend. We check the prerequisites for every program on it, because a missing Grade 12 course is the single most common way a plan quietly falls apart — and in the autumn term you are still months away from having to commit to a timetable.

What you walk away with

A written list of programs with the entry requirements, prerequisite courses and rough grade ranges beside each one — and a note of exactly which Grade 12 courses you need to pick when selection opens.

Why the timing matters

Grade 12 course selection in Peel schools runs from the middle of January to the middle of February of Grade 11. A list built after that has to work around whichever courses were already chosen, rather than the courses being chosen to fit the list — and no application, however strong, argues its way past a missing prerequisite. This is the last checkpoint where the timetable is still genuinely open.

Grade 11 · January–June

Positioning & narrative

What happens

You go through everything you have actually done — courses, jobs, teams, clubs, the thing you taught yourself at home that you assumed did not count. Most of it is not a list of achievements; it is evidence of something consistent about you. This stage finds that through-line and works out which parts of it are worth building on over the next year, and which are not worth your time.

What you walk away with

A clear statement of what your application is arguing about you, and a short list of things worth doing before Grade 12 that genuinely support it — rather than a scramble to collect activities in September.

Why the timing matters

Anything that has to appear on an application has to have happened first, and some forms ask about a specific stretch of time. Waterloo's Admission Information Form asks directly about “the second semester of Grade 11, your summer break, and the first semester of Grade 12” — which is exactly the span this checkpoint sits at the front of. Finding the gaps in the spring of Grade 11 leaves two terms and a summer to close them; finding them in Grade 12 leaves a student describing intentions instead of things they did.

What happens

Two jobs, across two seasons. Over the summer you build the raw material — the experiences worth writing about, and the stories underneath them drafted properly in your own words — and you rehearse against everything that is genuinely public. Waterloo publishes the questions on its Admission Information Form and asks the same ones of every applicant; McMaster Arts & Science publishes its prompts; Waterloo Engineering publishes its video question word for word; Queen's publishes the rubrics its readers mark against; and last year's questions are archived for most programs, which is what you practise on where this year's are held back. Then from September, as the live prompts open, you draft against them properly — several rounds, with your consultant pushing back on anything that sounds written to impress rather than to be read.

What you walk away with

Finished submissions for the programs whose questions you could work on, a set of stories you can adapt for anything you add to the list later, and enough practice on unseen and timed questions that a prompt you have never read before does not feel like starting from nothing.

Runs over: About six weeks
Written work between sessions: Up to three drafts per essay, each returned with written comments. The largest checkpoint, because drafting needs gaps between rounds.

Why the timing matters

The summer is the only stretch of the cycle with no schoolwork competing for it, so it is worth using — but not for what it is often sold as. Only some universities publish their questions in advance. Queen's says plainly that it will not, and assigns each applicant a question at random; several responses are written or recorded against a timer, so nothing can simply be pasted in. What the summer buys is material and fluency. The drafting against live prompts runs September to December, which is precisely when Grade 12 coursework starts competing for the same hours.

What happens

Everything gets assembled and tracked: OUAC — Group A, the form Ontario day-school students use, and what OUAC used to call 101 — plus any out-of-province or international system on your list, each with its own quirks. The OUAC application opens in the second half of September and the main deadline falls in mid-January, but the dates that catch families sit between the two. U of T Engineering and Rotman Commerce run an early round in early November, with supplementals due around the start of December, and Queen's recommends applying by late November so that its major award application is reachable. Supplementary components then keep landing through late January and February. You go through each application before it is submitted, not after.

What you walk away with

Submitted applications, and one tracked list of every deadline, form and reference still outstanding — including the supplementary ones that fall weeks after the main deadline — so that nothing depends on remembering it.

Why the timing matters

Two things about this deadline are widely misread. The mid-January OUAC deadline is often called an equal-consideration deadline — that is the universities' phrase, not OUAC's — and taken to mean an early application gains nothing. What it actually guarantees is a response by late May, and real early rounds close in November and early December regardless. The second is that submitting is not finishing: individual programs' supplementary forms fall due from early December through the middle of February. Exact dates move every cycle, so they are confirmed against each university before anything is scheduled.

What happens

Most of these are not interviews in the sense of sitting across a desk from someone. Western's Casper window is open from October to early March; McMaster Engineering's supplementary opens in late October; Queen's supplementary is one written response and one recorded video, both against a timer — roughly ten minutes to write, a couple of minutes to prepare and speak. So you practise the format itself: recorded, on the clock, with feedback, more than once, until the timer stops being the hard part. Then, as offers arrive — and they arrive from January right through to late May, not all at the end — you work through what each one actually means: the cost, the campus, the transfer options, and the questions worth asking before you accept anything.

Real practice in the format each of your programs actually uses, against the published rubric where there is one — and a considered decision about where to go, made against your own criteria rather than whichever offer arrived first.

Written work between sessions: Two mock interviews with written feedback, and a written read on each offer as it arrives.

Why the timing matters

These assessments open in October, not in the winter, so a family holding this for the second term has already missed the start of the window. Offers then arrive from January through to late May rather than together, which is a long time to hold a decision open while an early offer applies pressure. The useful counterweight: the start of June is the earliest date an Ontario university may require a student to respond to an offer or make a financial commitment, and that covers scholarship and residence decisions too.

Ascent is supplementary. It is not a substitute for the marks.

The two answer different questions. Tutoring is about what ends up on the transcript. Ascent is about where that transcript gets sent, which programs it is genuinely competitive for, and how the student is presented alongside it.

No amount of application strategy makes up for a mark that is short of a program's cutoff — so if a student needs the grade first, we will say so at the consultation rather than sell a checkpoint. Plenty of families use one without the other.

A set number of hours with a consultant, run across that stage's window rather than crammed into one week, plus a defined amount of written feedback between sessions. The hours differ by checkpoint because the work does — program strategy is genuinely a two-hour job, while essays run to five hours over about six weeks, since drafting only works if there are gaps between rounds. Each checkpoint's exact hours and written-work allowance are listed against it above.

You get the same checkpoint, run over a shorter period. Nothing is withheld and no stage is closed off because of the calendar. We will tell you plainly at the consultation what compressing it costs you — for essays, mainly drafting rounds — so you can decide whether to do it now or wait.

Yes, and most families do. You can take them one at a time as the year goes on, pick the two or three that matter most to you, or book the full cycle up front. Nothing is bundled by default and no checkpoint requires having bought the one before it.

That is normal and nothing is closed off. A family arriving in Grade 12 can start at applications without having done program strategy — the consultant catches up on the earlier ground as part of the first session rather than treating it as a prerequisite. The sequence exists to make the work well-timed, not to gate it.

Online, the same as tutoring. Drafts and documents are shared and commented on between sessions so feedback does not have to wait for the next meeting.

No — it answers a different question. Tutoring is about the marks on the transcript; Ascent is about where those marks get sent and how the student is presented alongside them. Plenty of families use one without the other, and the consultation will tell you honestly if you only need one.
